Cyprus Conference & Workshop Visa 2026: The “Invitation Letter” Trap

Cyprus is becoming a hub for international conferences, especially in Maritime, Education, and Tech. But applying for a conference visa is different from a tourist visa. You are not just a visitor; you are a representative of your company.

Here is the 2026 guide to getting your Cyprus Business Visa approved without delays.

1. The Visa Category: Short-Stay “Type C”

You are applying for a Short-Stay Visa (Category C) under the “Business/Conference” sub-category.

  • Fees (2026): €90 (approx. ₹8,272) + VFS Service Charges.

     

  • Processing Time: 10-15 working days. (Apply at least 3 weeks before your event!).

     

2. The “Invitation Letter” Rules (Crucial)

This is where 60% of applicants fail. You cannot just submit a PDF printout of an email saying “You are invited.” The Invitation Letter MUST include:

  1. Full Details: Your name, passport number, and specific role (Speaker, Delegate, or Attendee).

  2. Assumption of Responsibility: If the host (organizer) is providing accommodation or meals, they must complete the official “Assumption of Responsibility for Hosting” form

     

  3. Direct Fax/Email: In many cases, the High Commission in New Delhi expects the organizer in Cyprus to fax or email the letter directly to the Embassy (HighCom.india@mfa.gov.cy) before your appointment.

  •  A paid ticket or an email confirmation from the event organizer is not a visa document. For a Cyprus Business/Conference Visa (Type C), the #1 reason for rejection is a “Non-Standard Invitation.” The High Commission requires a specific legal format, often faxed directly to them

3. Employer NOC (The “Ties to Home” Proof)

Since you are visiting for work, you must prove you have a job to return to. You need a No Objection Certificate (NOC) from your Indian employer stating:

  • “Mr. Singh is attending [Conference Name] on behalf of our company.”

  • “He will return to his position as [Job Title] on [Date].”

  • Crucial: If your company is paying for the trip, the letter must say: “All expenses will be borne by the company.”

4. Financials: Who is Paying?

  • If Company Pays: Submit the company’s bank statements (last 6 months) + ITR + Sponsorship Letter.

  • If Self-Funded: Submit your personal bank statements (last 3 months) showing a healthy balance (approx. €100 per day of stay).

  • Cash Rule: Even with a visa, carry €500 – €1,000 in cash/Forex card when landing in Larnaca. Immigration will ask.

5. The “Schengen Exemption” Trick

Do you already hold a valid visa for France, Germany, or Italy?

  • The Rule: If you hold a valid Double or Multiple Entry Schengen Visa, you do not need a separate Cyprus visa.

     

  • Condition: You must have already used the Schengen visa to enter a Schengen country first (or have valid remaining entries). You can fly directly to Cyprus on this visa for your conference.
